Terms & Conditions

1. Professional Scope & Fees

  • Services Provided: Captain Stonefish provides mobile projection mapping, 3D animation, and interactive visual services. These terms apply to all bookings, site visits (Recce), and live performances.

  • Production Rates: Production fees are billed at the prevailing studio day rate as specified in the individual Project Proposal/Quote.

  • Recce & Travel: A formal Recce (Site Visit) is required for all new locations. This is billed at a flat fee plus travel and subsistence costs, which will be calculated and finalized during the proposal stage. These fees are payable regardless of whether the project proceeds to full production.

2. Technical Limitations & Site Requirements

  • Van Positioning: The Client must ensure a clear, legal, and firm parking space for the mobile unit at the specific "Throw Distance" calculated during the Recce.

  • Height Restrictions: The standard projection height is strictly limited to the height of the mobile unit.

  • Elevation Caveat: Any requirement to project higher than the van's roofline will require a scaffolding tower or secondary platform, to be provided or funded by the Client.

  • Surface & Scale: Throw ratios and unit positioning determine the maximum image size. Technical viability for specific building scales is finalized during the Recce.

  • Line of Sight: The Client is responsible for ensuring the path between the van and the target surface remains clear of temporary obstructions (e.g., parked cars, gazebos, or scaffolding).

3. Ambient Light & Environment

  • The Lighting Variable: While the Recce assesses light levels, Captain Stonefish is not responsible for changes in ambient light on the night of the event (e.g., security lights, shop signage, or street lighting).

  • Outcome Quality: Excessive ambient light can affect visual outcomes. The Client acknowledges that total darkness is required to guarantee maximum visual impact.

4. Weather & Safety (The "Final Call" Clause)

  • Adverse Weather: Captain Stonefish reserves the right to suspend or cancel an installation due to adverse weather, including heavy rain, snow, or wind speeds exceeding safe operating limits for the mobile rig.

  • The Final Say: The Lead Technician (Chris Summers) has the absolute final authority on whether equipment can be deployed. This decision is made solely to prevent equipment damage and ensure public safety.

  • Rescheduling: In the event of weather-related cancellation, rescheduling will be discussed in good faith, though initial deployment and logistics fees may still apply.

5. Security, Health & Safety

  • Projector Glare: High-output projectors create intense light glare. While not inherently dangerous, this is a visual hazard. The Client must ensure the public is kept clear of the direct line of sight to the lenses.

  • Equipment Protection: The Client is responsible for providing a secure perimeter around the mobile unit in public areas. For multi-night residencies, the Client must provide or fund SIA-accredited security to monitor the equipment overnight.

  • Compliance: The Lead Technician is Enhanced DBS checked. A project-specific Risk Assessment and Method Statement (RAMS) will be issued following the completion of the Recce and payment of the deposit.

6. Power & Permissions

  • Power Supply: Power requirements will be finalized during the Recce. If the Client provides power, it must be "Clean Power" meeting specific voltage/amperage requirements. Captain Stonefish is not liable for interruptions caused by Client-side power fluctuations.

  • Licensing: The Client is responsible for obtaining all necessary permissions from building owners, local councils, and heritage bodies, including any street lighting dimming requests.

7. Payment, Cancellation & IP

  • Booking Deposit: A non-refundable deposit is required to secure the date and begin 3D asset creation. 3D rendering will not commence until this deposit is cleared.

  • Cancellation: Cancellations made within 14 days of the event will incur the full project fee, as bespoke 3D content and rendering time are non-recoverable.

  • Intellectual Property: Captain Stonefish retains ownership of all "Master" 3D project files and software patches. The Client is granted a license to use captured footage of the event for their own promotional purposes.
